How to record in-person conversations and meetings

Phone microphones fail to capture multi-person conversations at table distance. A participant seated across a dinnertable-sized table is frequently inaudible in a phone recording. Fixing it requires a different device, not a different app.

Quick answer

4 steps to record an in-person conversation or meeting

Method selection and consent happen first. Device placement determines whether every voice in the room is captured.

1. Get consent before starting: explain the purpose and confirm again after the recording begins

Inform all participants the session will be recorded and explain why (accurate notes, sharing with those who could not attend, or future reference). Confirm consent verbally after starting the recording.

2. Choose your recording method: AI app, smartphone, laptop, or a dedicated recorder

AI meeting assistants record audio and generate automatic summaries and transcriptions. Smartphone apps capture audio for later processing by an AI service.

3. Place the device at the center of the table and test before the session begins

Position the recorder centrally so all speakers are at roughly equal distance from the mic. Run a short test by speaking from the far end of the table.

4. After the session: stop recording and access the transcript and AI summary

Click finish or stop to trigger transcription. AI tools generate a full transcript and a summary of topics and actionable items.

Which setup captures every speaker in the room

Compared on setup effort required, how well each method covers both in-person and phone sessions, whether speaker labels are generated, and whether transcription is included.

Phone voice recorder on the table

Convenient and always available. A single mono mic at one end of the table cannot hear participants on the far side. Battery and notification interruptions create additional risk.

External USB microphone with laptop

Better pickup range than a phone. Requires a laptop present at the table. Cable management during the session is disruptive. Not practical for field or off-site sessions.

Standalone digital recorder (Sony, Zoom H)

Good audio quality and portable. Requires a manual upload, a transcription service account, and a turnaround of hours or days before the record is usable.

AI recorder (Plaud Note Pro)

Based on common in-person recording workflows and Plaud product data. Always confirm consent from all participants and follow local recording laws before recording any conversation.

Tips

Most in-person recordings capture a partial conversation, not the full meeting

Coverage, attribution, and availability are the three things a recording must deliver to be useful. Whether the device picks up all speakers at the distance they actually sit. Whether each speaker's statements are identified separately in the transcript. Whether the transcript is available without routing the file through a separate service.

A mic placed at one end of the table leaves participants on the far side out of the recordWhen participants at 2 to 3 meters from the device are inaudible, their contributions are missing from the transcript.
A transcript with no speaker labels requires a full re-read before anyone can act on itUnattributed text must be annotated manually before it is usable for follow-up or accountability.
A recording that requires uploading to a separate service often sits in a downloads folder insteadThe gap between capturing audio and having a usable transcript is where most in-person recordings stop.
A follow-up phone call handled by a different device creates a gap in the same meeting recordThe call that continues the in-person discussion belongs in the same record.
